Welcome to Mentoshri - Mentorship and Network ("we," "our," or "us"). We are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our alumni-student mentorship platform.

By accessing or using Mentoshri, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy. If you do not agree with our policies and practices, please do not use our platform.


Information We Collect

1. Personal Information You Provide

When you register and use Mentoshri, we collect the following personal information:

  • Account Information: Full name, username, email address, password (encrypted)
  • Student Information: Roll number, department, year of study, division, college affiliation
  • Alumni Information: Graduation year, degree, current position, company name, industry, work experience, skills, achievements
  • Faculty Information: Department, position, qualifications, research areas, subjects taught, office hours
  • Profile Information: Profile photo, cover image, bio, social media links (LinkedIn, Twitter, GitHub, personal website)
  • Contact Information: Phone number, location, time zone preferences

2. Platform Usage Data

We automatically collect information about your interactions with our platform:

  • Mentorship Requests: Request details, status (pending/accepted/rejected), communication preferences
  • Chat Messages: Real-time messages between students and alumni mentors
  • Resource Uploads: Educational resources, file names, file types, upload dates
  • Event Participation: Event registrations, attendance records
  • Gamification Data: Experience points (XP), levels, badges earned, leaderboard rankings
  • Ratings & Feedback: Alumni ratings, student feedback, review comments
  • Campaign Contributions: Fundraising pledges, give-back campaign participation
  • Availability Status: Alumni availability schedules, online/offline status, last seen timestamps

3. Technical and Device Information

  • Session Data: Login timestamps, session duration, IP addresses
  • Activity Logs: User actions, page visits, feature usage patterns
  • Device Information: Browser type, operating system, device type (mobile/desktop)
  • Authentication Data: Two-factor authentication (2FA) OTP codes (temporary, deleted after verification)

4. Communication Data

  • Email Communications: Verification emails, OTP codes, notification emails, announcement emails
  • Notifications: In-app notifications, push notifications, email preferences
  • Support Requests: Help desk inquiries, technical support communications
  • Demo Booking Requests: Name, email, phone number, college name, preferred date/time for platform demonstrations

How We Use Your Information

1. Facilitate Mentorship Connections

Match students with appropriate alumni mentors based on academic interests, career goals, department, and industry preferences.

2. Account Management & Authentication

Create and manage your account, verify your identity via two-factor authentication (OTP), and secure your account access.

3. Enable Communication

Provide real-time chat functionality between students and mentors, manage mentorship request workflows, and deliver notifications.

4. Share Educational Resources

Enable alumni and faculty to upload and share educational materials, study resources, and career guidance documents with students.

5. Gamification & Engagement

Track student engagement through XP points, levels, badges, and leaderboards to encourage active participation and learning.

6. Event Management

Organize alumni events, webinars, career fairs, and networking sessions; manage event registrations and participant tracking.

7. Fundraising & Campaigns

Facilitate alumni give-back campaigns, track contributions, and manage fundraising initiatives for college development.

8. Analytics & Improvement

Analyze platform usage patterns, measure mentorship effectiveness, generate reports for college administrators, and improve platform features.

9. Send Communications

Send system notifications, important announcements, mentorship updates, event reminders, and administrative messages via email and in-app notifications.

10. Security & Fraud Prevention

Detect and prevent fraudulent activities, unauthorized access attempts, spam, and abuse of platform features. Monitor OTP attempts and implement rate limiting for security.


Data Sharing and Disclosure

We do NOT sell your personal information to third parties.

Within Your College Network

Your profile information is visible to other verified members of your college network (students, alumni, and faculty from the same institution) to facilitate mentorship connections.

College Administrators

College administrators and faculty coordinators have access to aggregated analytics, mentorship statistics, and user activity reports for administrative and reporting purposes.

Service Providers

We use Amazon SES (Simple Email Service) for sending transactional emails including OTP codes, notifications, and announcements. These providers are bound by strict confidentiality agreements and can only use your data to perform services on our behalf.

Legal Requirements

We may disclose your information if required by law, court order, or governmental regulation, or to protect the rights, property, or safety of Mentoshri, our users, or others.


Data Security Measures

We implement industry-standard security measures to protect your personal information:

Password Encryption

All passwords are hashed using industry-standard bcrypt algorithm before storage. We never store plain-text passwords.

Two-Factor Authentication

OTP-based 2FA for all user logins with rate limiting (30-second cooldown) and automatic account lockout after multiple failed attempts.

Session Management

Secure PHP session handling with automatic timeout, role-based access control (RBAC), and session invalidation on logout.

Database Security

Prepared SQL statements to prevent SQL injection attacks, encrypted database connections, and regular security audits.

File Upload Security

File type validation, size restrictions, virus scanning, and secure storage in protected directories for all user uploads.

Activity Monitoring

Real-time activity tracking, suspicious behavior detection, automated logging of security events, and IP-based access control.

Note: While we implement robust security measures, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security but continually work to enhance our security infrastructure.

Mentoshri uses session cookies and local storage for essential platform functionality:

Session Cookies (Essential)

Used to maintain your logged-in state, manage authentication, and enable core platform features. These cookies are essential for the platform to function.

Stored Data: Session ID, user role, user ID, login timestamp

Preference Cookies

Store your theme preferences (light/dark mode) and notification settings to enhance your user experience.

Stored Data: Theme preference, notification preferences, language settings

No Third-Party Tracking

We do NOT use third-party analytics cookies, advertising trackers, or behavioral tracking tools. Your browsing behavior on Mentoshri is not shared with external analytics or advertising platforms.

Managing Cookies

You can control cookies through your browser settings. However, disabling essential cookies may prevent you from accessing certain platform features or logging into your account.


Your Privacy Rights

You have the following rights regarding your personal information:

Right to Access

View and download your personal data stored on Mentoshri at any time through your profile settings.

Right to Rectification

Update, correct, or modify your personal information through your account profile settings.

Right to Deletion

Request deletion of your account and associated data. Note: Some data may be retained for legal compliance.

Right to Data Portability

Export your data in a machine-readable format to transfer to another service if desired.

Right to Object

Object to certain data processing activities. You can opt-out of non-essential email communications.

Right to Withdraw Consent

Withdraw your consent for data processing at any time (subject to contractual limitations).

Data Retention

We retain your personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy:

  • Active Accounts: Data retained as long as your account is active
  • Closed Accounts: Personal data deleted within 90 days of account closure (except legally required records)
  • OTP Codes: Automatically deleted after verification or expiration (5-minute validity)
  • Session Data: Cleared upon logout or after 24 hours of inactivity
  • Analytics Data: Aggregated and anonymized data retained for statistical analysis

Children's Privacy

Mentoshri is designed for college students (typically 18+ years) and working alumni. We do not knowingly collect personal information from individuals under 18 years of age. If you are under 18, please do not use this platform or provide any personal information. If we discover that we have collected information from a minor, we will delete it immediately.


International Data Transfers

Our servers are located in India, and our email service provider (Amazon SES) operates in the Asia Pacific (Mumbai) region. If you access Mentoshri from outside India, your information will be transferred to, stored, and processed in India in accordance with Indian data protection laws.

By using Mentoshri, you consent to the transfer of your information to India and the processing of your information in accordance with this Privacy Policy.


Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will notify you of any material changes by:

  • Posting a prominent notice on our platform
  • Sending you an email notification to your registered email address
  • Updating the "Last Updated" date at the top of this policy

Your continued use of Mentoshri after such modifications constitutes your acknowledgment of the modified Privacy Policy and your agreement to abide by it.
